Purpose
The purpose of the Board of Director’s (board) Open Meetings is to address the internal operations of the community. (Bylaws Article V.9.D)
Meeting Schedule
Open meetings are scheduled for the second Wednesday of each month from 2:30 to 4:30 pm. The meeting dates and times are distributed via email each month and posted on the website at the start of each calendar year. Any changes to dates and times will be distributed via email and posted on the website.
Agendas and Minutes
The agenda is distributed via email and posted on the association website one week in advance. The approved meeting minutes are posted on the website and a draft copy of the minutes are posted for the most recent meeting.
Robert’s Rules of Order
Robert’s Rules (as adapted to small boards) are followed to facilitate fair and efficient conduct of business by the Board of Directors.
Owner Participation and Inquiries
The board provides a 10-minute owner comment period at each meeting. Owners may contact the appropriate board member directly if they have general questions between meetings.
When possible, the board member will provide feedback. However, feedback should not be construed as board approval. In some circumstances, further research may be required and/or the full involvement of the board which will be addressed at a regularly scheduled board meeting. Executive Session
An Executive session is a closed meeting of the board to discuss legal issues, consult with legal counsel, and address matters involving violations of the governing documents or possible liability matters. (Bylaws Article V.9.G)
Special Meetings
Special meetings are unscheduled meetings focused on an emergency or a single issue that cannot wait for a regularly scheduled meeting. Special meetings may be called by the President, a majority of the board, or by owners having ten percent (10%) of the votes in the Association (Bylaws Article V.9.F)
Annual Meetings
The annual meeting of the Members shall be held in September of each year for the purposes of electing directors, presenting financial reports, ratifying the budget for the upcoming year, and transacting other business as necessary. (Bylaws Article IV.1)
